Corporate gala checklist: planning an evening event in Calgary
From the brief and the budget to the programme and the week after — a working checklist for company galas, award nights, holiday parties and fundraising dinners.
A corporate gala is a dinner, a stage programme and a logistics exercise at once. Unlike a wedding, it usually has a committee, an approval process and a fixed budget line — and the person organising it often has another full-time job. A checklist keeps it moving between meetings.
This one is ordered by stage, from the brief to the follow-up. It works for annual galas, award nights, holiday parties, client evenings and fundraising dinners. Tick what applies and ignore what does not.
The brief: six months or more out
Agree what the evening is for before you look at venues. An awards night needs clear sightlines and a tight programme. A holiday party needs a dance floor and a relaxed pace. A fundraiser needs space for an auction and a clear moment for the ask. The purpose decides the layout, and the layout narrows the venues. Holiday parties in particular are worth booking in the spring or summer before, since Friday and Saturday nights in early December tend to go first.
Brief and budget
- The purpose of the evening, in one sentence the whole committee agrees with
- A guest range, including partners, clients and sponsors
- An approved total budget, with a contingency line
- Two or three possible dates — Stampede week in July and the late-November to mid-December party season fill early
- Who signs off on the venue, the menu and the programme
- Accessibility needs, dietary needs and any cultural or religious considerations across the guest list
Venue and catering: four to six months out
Think about how guests will arrive. Most will drive straight from work, in the dark for much of the gala season, and some will leave their car overnight if they are drinking. Free parking close to the door, a well-lit entrance and a hall that is easy to reach from the main routes make the first ten minutes calmer — and that is when guests form their impression of the evening.
Venue and catering
- Tour the shortlist in the evening — take our hall tour questions
- Confirm what is included: tables, linens, staff, stage, sound, screen, cleaning
- Check the location and parking for guests driving from work, and the distance from YYC and hotels for anyone travelling
- Book a tasting and agree the dining style — plated for a formal awards programme, buffet or stations for a more social evening
- Agree how the bar will work and how drinks are paid for — host bar, drink tickets or cash
- Read the contract for deposit terms, the final-count deadline and cancellation
Programme, stage and AV: two to three months out
The programme is where most galas run long. Time every item, then add a buffer. Speeches almost always overrun, and an awards list that looks short on paper can take an hour once every winner walks up, shakes hands and poses for a photo.
Programme and AV
- Draft a run-of-show with times for arrival, dinner, speeches, awards and entertainment
- Confirm the MC, and give every speaker a time limit in writing
- Collect slides, videos and walk-up music in one shared folder, in the right format, at least a week before
- Confirm the podium, wireless microphones, screen and any extra AV with the venue
- Book entertainment, a photographer and any outside production, and check what each needs from the house system
- Plan the stage: logos, lighting colours, the awards table, where presenters stand and where winners exit
- Schedule a sound check on the day, and a full rehearsal if the programme is complex
Guests and communications: six to eight weeks out
Guests
- Send invitations with the date, time, address, parking details and dress code
- Collect dietary requirements at registration — halal, vegetarian, vegan, gluten-free, allergies — rather than chasing them later
- Choose the seating: cabaret for a programme-heavy evening, round tables for dinner and conversation — see guest count and seating
- Place sponsors, executives and award nominees with clear sightlines and an easy route to the stage
- Arrange ways home — rideshare codes, taxis or a shuttle — and mention them in the invitation
- Order name badges, place cards, printed programmes and signage
The final two weeks
Confirm and brief
- Confirm the final guest count and dietary list with the venue in writing
- Send the venue the seating plan, run-of-show and a vendor contact list
- Confirm load-in times for AV, decor and entertainment
- Brief staff or volunteers on registration, greeting VIPs, handling awards and the coat check
- For a winter date, plan for cold arrivals — coat check staffing, a clear entrance, and a message to guests if roads are bad
- Print a one-page contact sheet for everyone working the night
On the night and the week after
On the night
- Arrive early for a walk-through and sound check
- Keep one person on the run-of-show, with authority to cut items if the evening runs long
- Have someone at the door for late arrivals and VIPs
- Check the room temperature once it fills, and again after dinner
The week after
- Thank speakers, sponsors, volunteers and the venue
- Share photos and, for a fundraiser, the total raised
- Collect feedback while it is fresh, and note what to change next year
- Settle final invoices and file the run-of-show for whoever plans the next one
