Privacy policy

How Moonlight Banquet Hall collects, uses and looks after the personal information you share with us — on this website, over the phone and when you book an event.

  • Last updated October 8, 2026

This policy explains what personal information Moonlight Banquet Hall Ltd. collects, why we collect it, how we look after it and what choices you have. We follow Alberta’s Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

In this policy, “we”, “us” and “our” mean Moonlight Banquet Hall Ltd. “Personal information” means information about an identifiable individual — your name, your phone number or the details of your event, for example.

Who we are

Moonlight Banquet Hall Ltd. runs a single banquet hall at 2886 Sunridge Way NE #105, Calgary, Alberta T1Y 7H9. We are responsible for the personal information we collect through this website, by phone, by email and in person, including the information you share with us when you book an event.

Please mark your email or letter “Privacy” so it reaches the right person quickly.

What we collect

When you send an enquiry or ask for a tour

Our enquiry form and tour request form ask for:

  • Your name, email address and phone number
  • The type of event you are planning, the date and an approximate guest count
  • Your preferred time for a tour, if you are booking one
  • Anything you choose to write in the message box

Please don’t include sensitive details in the message box that we don’t need in order to reply. If guests have dietary or accessibility needs, we can talk about them when we plan your event.

When you book an event

To plan and deliver your event, we collect what we need for the contract and for the day itself. Depending on the event, that may include:

  • The names and contact details of the people signing the contract, and of anyone you name as a point of contact
  • Billing details, deposit and payment records, and the invoices we issue
  • Event details — the date, timings, menu choices, seating plan, decor and the vendors you are working with
  • Guest information you choose to share, such as names on a seating plan or a guest’s dietary or accessibility needs

If you give us information about other people — your guests, family members or colleagues — please make sure they know you are sharing it and why.

When you call, email or visit

If you phone or email us, message us on WhatsApp or social media, or visit the hall, we keep the details you give us so we can follow up — your name, your contact details and what we discussed.

When you visit this website

Like most websites, our web server automatically records basic technical information when pages are requested — your IP address, your browser type and version, the pages you requested, the page that referred you, and the date and time. We use these logs to keep the site secure, find and fix problems and understand in general terms how the site is used. We do not use them to build a profile of you.

Why we use it

We collect and use personal information only for purposes a reasonable person would consider appropriate, and only as much as we need. We use it to:

  • Reply to your enquiry and answer your questions
  • Arrange and confirm tours of the hall
  • Plan and deliver your event, including coordinating with the vendors you choose
  • Prepare contracts, take deposits and payments, issue invoices and keep accounting records
  • Keep this website, our systems and the hall secure
  • Meet our legal, tax and regulatory obligations

We will not use your information for a new purpose without telling you, and we will ask for your consent where the law requires it.

Sending an enquiry does not put you on a marketing list. If we ever send updates by email, we will do so only with your consent, and every message will include a simple way to unsubscribe.

When you fill in a form, send us a message or book an event, you consent to us using your information for the purposes described in this policy. Where a purpose would not be obvious to you, we will explain it and ask you directly.

You can withdraw or change your consent at any time by contacting us, subject to legal or contractual limits. We will explain what withdrawing means in your case — for example, we cannot hold a date or plan an event without a way to reach you. Withdrawing consent does not affect information we are required by law to keep, such as invoices and accounting records.

How we store and protect it

We protect personal information with safeguards that suit how sensitive it is. These include:

  • Limiting access to the people who need the information to do their work
  • Password-protected accounts and devices for our email and business records
  • An encrypted (HTTPS) connection between your browser and this website
  • Keeping paper records, such as signed contracts, somewhere secure
  • Securely deleting or shredding information we no longer need

No way of storing or sending information is completely secure, but we take reasonable care and review our safeguards when our systems change. If a privacy breach creates a real risk of significant harm to you, we will notify the Office of the Information and Privacy Commissioner of Alberta and let you know, as the law requires.

Who we share it with

We do not sell, rent or trade personal information. We share it only when we need to, and only as much as is needed:

  • With service providers who help us run this website, our email and our business — website hosting, email and accounting, for example
  • With the vendors working on your event, such as a decorator, photographer or DJ, when you ask us to coordinate with them or when they need details to deliver your event
  • With professional advisers, such as our accountant or lawyer, where needed
  • Where the law requires or allows it — for example, in response to a court order or a lawful request from the authorities, or in an emergency that threatens someone’s life, health or safety

Service providers may use your information only to provide their service to us. Some of them may store or process information outside Canada, including in the United States, where it is subject to the laws of that country. You can ask us how our service providers outside Canada handle personal information, using the contact details above.

How long we keep it

We keep personal information only for as long as we need it for the purpose we collected it, and for as long as the law requires for legal, tax or accounting reasons. In practice:

  • Enquiries and tour requests that do not lead to a booking are kept for as long as it is reasonable to follow up, then deleted
  • Contracts, invoices and payment records are kept for as long as tax and accounting rules require
  • Website server logs are kept for a short period for security and troubleshooting, then deleted or overwritten

When we no longer need information, we delete or destroy it securely, or remove anything that identifies you.

Cookies

We do not use advertising or cross-site tracking cookies, and we do not share browsing data with advertisers. Your browser may store a small amount of information on your device to remember simple preferences or keep the site working. It stays in your browser, is not used to follow you around the web, and you can clear it at any time in your browser settings.

If we add website analytics in future, we will update this policy at the same time to explain what is collected, why, and how to opt out.

This website links to services run by other companies — Google Maps for directions, Facebook and Instagram for our social pages, and WhatsApp for messaging. When you use them, their own privacy policies apply, not ours. If we embed content from another service on a page — a map, for example — that service may collect information or set cookies under its own policy.

Photos and video of events

We do not publish photos or video of your event, or name you, without your written permission. Our confidentiality page explains how we handle event details, guest lists and images.

Children

This website is not directed at children, and we do not knowingly collect personal information from children through it. Where a guest list or seating plan includes children, we use that information only to plan and run the event.

Seeing and correcting your information

You have the right to ask for access to the personal information we hold about you, to ask how it has been used and who it has been shared with, and to ask us to correct anything that is inaccurate or incomplete.

  1. Write to us

Send your request by email or post, using the contact details above. Tell us what information you are asking about — the more specific you are, the faster we can help.

  2. Confirm who you are

We may ask you to confirm your identity before we release or change anything, so that your information does not go to someone else.

  3. Hear back from us

We will reply within the time the law allows — under PIPA, generally within 45 days — and usually much sooner. If we cannot give you some information, we will explain why, as far as the law allows, and how you can ask for a review.

Correcting your information is free. If an access request involves a fee the law permits, we will give you an estimate before we go ahead.

Concerns and complaints

If you are concerned about how we have handled your personal information, please contact us first — we will look into it and reply. If you are not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner of Alberta (OIPC), which oversees PIPA. Its website, oipc.ab.ca, explains how to ask for a review or make a complaint. Where PIPEDA applies, you can also contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

We may update this policy when our practices or the law change. The “last updated” date on this page shows when it last changed. If we make a significant change to how we use personal information, we will make it clear here, and ask for your consent where the law requires it.
